Conflict of Interest Automation for Associations

Creating a conflict of interest automation for your association can eliminate hours of tedious association management compliance burdens. Associations run on trust. Committee members, board leaders, and volunteers all must act in the organization’s best interest. Conflict of interest (COI) forms are a critical part of that accountability. We recently worked with an association struggling with this challenge. Their COI compliance workflow relied on static PDF forms, manual tracking, and a patchwork of spreadsheets and email reminders. Committee members were unable to easily view or update their previous submissions. Staff spent hours chasing down forms and comparing responses across review cycles. It was time-consuming, error-prone, and frustrating for everyone involved.

Building an AI-Powered Conflict of Interest Automation

Using Salesforce Experience Cloud and Claude AI, we built an AI-assisted association automation. It was a custom COI form system that replaced the entire manual process. The solution started with a custom Salesforce object designed to capture every field from the association’s existing form: financial disclosures, relational conflicts, employment details, and more. But the real transformation came from the intelligent, AI-powered workflow layered on top of it.

When a committee member logs in, their COI automatically populates with their answers from their prior submission. They review, update, and submit. Behind the scenes, the system creates a new version, links it to the previous submission, and sets the old record to inactive. Every version is preserved with a clear audit trail, far more reliable than manual tracking.

Role-based access controls ensure that only the right people see the right forms. Staff reviewers and committee leaders can view all submissions, while general members see only their own. The form itself lives on a secure, hidden page accessible only through a direct email link.

AI-Assisted Compliance Development Made Possible in 7 Hours

In seven hours, Nell Werner an Achurch business analyst, working alongside Claude, accomplished what would have traditionally required a specialized Salesforce developer. Claude AI handled the technical heavy lifting: generating an Apex class and test class, Lightning Web Components that include: JavaScript, HTML, and CSS. The versioning logic, status toggling, and record linking were all built with AI assistance.

That’s the real story here. AI didn’t just save time. It expanded what was possible. A consultant who understood the client’s needs executed the technical solution, closing the gap between requirements and delivery.
